1. Whose data does Vipcom OY process?

Vipcom OY processes the data of its clients and contact persons who have expressed their willingness to use our services or have previously used our services.
In certain cases we process personal data which is accessible from public sources.
2. The purposes and legal basis for processing the personal data (data) of clients
We process the personal data of our marketing channel’s voluntary users and service users to fulfill our contractual obligations as well as to provide our potential clients with better service and information. When Vipcom OY processes personal data for these purposes, the legal basis of the processing is our justified concern to ensure that we offer valid and quality services.
We gather information from Vipcom OY marketing channels (including the website) about their usage and the interest of potential clients to better understand the actual interests of our clients, to offer quality information and to improve the functionality and user-friendliness of our webpage. In this case the legal basis of the processing is our justified interest to understand the needs of our clients better and to offer better service. For example, Vipcom OY processes information about the client’s consumer behaviour, about reading and opening the newsletters and advertisements, for the purpose of providing the clients the offers and content they prefer.
Vipcom OY processes personal data for the following purposes:
to create and manage Vipcom OY customer base;
to offer new services to the client;
to analyse and improve Vipcom OY services;
to manage the website;
to comply with the regulatory requirements of the legislations;
to respond to client’s enquiries;

3. How data is collected?
Generally we collect personal data straight from the data subjects and with their agreement. In addition to that we use automatic data collection tools, including cookies and other tracking technologies to optimize the user experience of our website and to offer better services to our clients.
Cookies and pixel tags and their removal
Pixel tags are small website based scripts which enable websites to read and install cookies. These activate when the user opens an email or visits a website, these actions are followed by download of third party cookies or it is registered that a user has opened an email.
Vipcom OY uses the following cookies:
Session cookies (temporary cookies) which purpose is to enable to use the service.
Permanent cookies (saved into the user’s computer after closing the browser) which purpose is to remember the choices made by the customer on Vipcom OY websites
Specifically speaking, Vipcom OY uses:
Analytical cookies, which gather information about how the website is used. For example, which pages are visited most often and what do visitors search for on the website, etc. These cookies do not gather information that would specifically make it possible to identify the website user. For example, Google Analytics and Hotjar cookies belong into this category.
Advertising cookies, which help to offer the advertisements that suit the user’s preferences. For example, vipmarket.fi page has added a Facebook Pixel tag and if you do not want to see Vipcom OY’s advertisements in Facebook anymore then you can block it. Open https://www.facebook.com/ads/preferences and delete Vipmarket under the option “advertisers whom you have connected”
The user has a right to deny cookies being saved into the computer. If this is the case, the user has to change their web browser settings.
The user must consider that by blocking cookies all the functions of the website may not be available for the user.
4. Personal data (including information) that is processed by Vipcom OY
Vipcom OY may process the following personal data (including information):
Contact information – name, e-mail address and phone number, delivery address
Data that is gathered and created by filling the contract – customer’s preferences regarding Vipcom OY services and products, feedback about our services, information about customer’s work, habits and preferences of business processes or studies
Automatically collected information– the information that is received from the user’s web browser, including the type of browser and device, language, the website address where the user came from, which pages did the user look at, user’s IP-address and other traffic data.
Users actions concerning Vipcom OY e-mails – including information about which letters and when and how did the user open.
Other personal data – which you have made publicly available or accessible for us through third party social networks like LinkedIn, Facebook, Google Plus, Instagram, etc.
Vipcom OY does not process special kinds of personal data as a liable processor.
5. Sharing personal data
Vipcom OY does not forward customer’s information outside the European Union (EU) Economic Area.
Vipcom OY does not share customer’s personal data to third party, except in the conditions listed below. All data is only used for better communication and to offer better product or service.
We can share your personal data in the following situations:
Sending the ordered products via post – people, facilities and organisations that mediate or provide postal service.
6. Safety, use and maintenance of personal data (data)
Vipcom OY can send customers information about their services, products, newsletters and offers if the customer has given us their contact information, but this can be done as long as the customer has not asked for a cancelation of the mentioned actions or when they have left the newsletter receivers group.
6.1. Safety of personal data
Vipcom OY’s most important safety related priority is the safe maintenance of personal data. We try to do everything possible to avoid unauthorized access, publication and other unlawful processing. We protect the confidentiality and privacy of personal data and provide access to data in accordance with the legislations in force.
We have established reasonable and sufficient organizational means and technical and physical restrictions to protect the personal data that we collect and process. The used methods depend on the type of personal data and the possible consequences in case they become public.
Vipcom OY has applied necessary technical, physical and organizational security measures to protect customer’s personal data (data) from disappearing and from illegal processing.
6.2. How long is personal data kept?
Vipcom OY stores personal data only for as long as it is necessary for achieving the purpose of its gathering. The storage period also depends on the needs of answering to the enquiries of data subjects, solving problems and follow the lawful terms of the storage of documents.
When we do not need the personal data anymore and when the legal acts do not require their storage, we delete the data.
We can continue to use this data for the purpose of statistics but only in pseudonymized or anonymized form.

7. Customer’s (data subject’s) rights
The customer has the right to access the Customer’s own data which is being processed by Vipcom OY and has the right to demand the correction of inaccurate personal data.
If the customer has questions about their rights or they feel that Vipcom OY has violated their rights during personal data (information) processing, they should definitely contact firstname.lastname@example.org.
If you do not wish to receive Vipcom Oy’s marketing notifications, you have the right to block them, following the instructions given on every marketing notification’s footer or by contacting us via our contact page.
Data subject’s rights
Right to rectification – the data subject shall have the right to obtain from the controller without undue delay the rectification of inaccurate personal data concerning him or her.
Right to erasure – The data subject shall have the right to obtain from the controller the erasure of personal data concerning him or her without undue delay on certain grounds.
In certain cases data subjects have the right to limit the processing of their personal data.
Data subjects have the right to get acquainted with the personal data that we store about them and which they have given us the right to forward to another controlling processor, if it is technically possible and the processing is done according to an agreement or contract and is done automatically.
The data subject has the right to object to the way their personal data is processed in accordance with a certain situation, and this is done in accordance with the corresponding acts of legislations and their setting, including in correspondence with the profile analysis that is done on the basis of these settings.
If the legal acts do not state differently, then the data subject has the right that there will be no decisions about them only on the basis of automated processing, including profile analysis, and creates a lawful consequence to the data subject or influences them remarkably.
If the ground for personal data processing is the agreement of the data subject, the data subject has the right to take this agreement back any time, without it influencing the lawfulness of the processing that was done before the taking back.
